Editing Employee Time Entries

Learn how to edit clock-in and clock-out times for employees.

The Payroll feature allows you to review employee time, calculate standard and overtime hours, and export payroll data for submission to your payroll provider.

To use payroll in WashStacks, your company must have Talent and be using clock-in and clock-out to track employee time.

Run a Payroll

  1. Go to Talent > Payroll

  2. Click Add. (Top Right)

  3. Select a Location

  4. Choose a Pay Period Start date

  5. Choose a Pay Period End date

  6. Click Enter Hours


    Important: You will see a loading message as WashStacks loads all the time clock data for your employees and populates the payroll report fields.

    Once complete, you’ll see each employee along with their Standard Hours and Overtime Hours.

    Note: Overtime is calculated only for 1-week and 2-week pay periods. For all other pay periods, hours will appear as Standard Hours.

  7. Make any necessary adjustments to the hours or fields provided.

  8. Upload supporting documents using Upload Files (optional).

  9. Add any notes related to this payroll (optional).

At this point, you can either:

  • Cancel This Payroll if the pay period dates are incorrect. This deletes the payroll but does not affect time clock data.

  • Click Preview to review a summary of the payroll.

If changes are needed, select Modify to return to editing. When everything looks correct, click Submit.

Payroll is now submitted.

Download a Payroll CSV

1. Go to Talent > Payroll.

2. Click the download icon next to the payroll you want to export.

3. Open the CSV file in Excel or another editor to preview the data.

4. Upload the file to your payroll provider.

Edit a Submitted, Open Payroll

1. Go to Talent > Payroll.

2. Click the three-dot menu next to the payroll.

3. Select Edit.

4. Make your changes.

5. Click Save.

Edit an In-Progress Payroll

1. Go to Talent > Payroll.

2. Click Edit in the top right corner.

3. Make any changes needed before submission.

4. Click Save.

Close a Payroll

Once a payroll has been submitted to your payroll provider, closing it prevents further edits.

1. Go to Talent > Payroll.

2. Click the three-dot menu next to the payroll.

3. Select Close.

The payroll is now closed.

Re-open a Payroll

If changes are required after closing a payroll:

1. Go to Talent > Payroll.

2. Click the three-dot menu next to the payroll.

3. Select Re-open.

The payroll is now open and can be edited again.
