Understanding Counseling Types in WashStacks

WashStacks supports three types of employee counseling. Each has different visibility rules and is used in different situations. This article explains when to use each type, and what employees can and can’t see.

Verbal Counseling

Private - Not visible to the employee who was counseled.

Verbal Counselings are for internal use only. They are not shown to the employee in WashStacks and do not require a signature.

Use this type for:

  • First-time issues

  • Minor performance concerns

  • Informal warnings

Why use it:

Having verbal counseling documented internally gives managers a clear history of past conversations and patterns, without escalating the situation too early.

Written Counseling

Visible to employees - Requires signature

Written Counselings appear on the employee’s profile and require acknowledgment via signature. Once saved, they will show up as a task on the employee’s dashboard until signed.

Use this type for:

  • Recurring issues

  • Policy violations

  • Situations where documentation and acknowledgment are important

Best practice:

Start by saving the Counseling as a draft. Print a copy and review it with the employee in person. Once you’ve had the conversation, save it in WashStacks so the employee doesn’t see the counseling before you’ve met.

Suspension

Visible to employees. Requires signature.

Suspensions function exactly like Written Counselings in terms of visibility and employee acknowledgment. The difference is that Suspension is treated as a separate classification in reports.

Use this type for:

  • Serious violations

  • Cases involving time away from work

  • Escalated disciplinary action
