1. Configure Your WashStacks Account
Begin by establishing the core structure of your account to ensure everything else runs smoothly.
Create Your First Location
Every action in WashStacks is tied to a location. You'll need to create at least one to get started.
Add Additional Locations
Add the remaining stores or sites so your users can be assigned to their respective locations.
Set Up Roles and Permissions
Define roles that match your org structure—e.g., Site Manager, District Manager, Maintenance.
If you're using WashStacks HR, pay special attention to the "Can see users/employees in these roles" setting. This controls access to sensitive employment details, like reviews and documents.
Add Users and Employees
Once roles and locations are in place, start adding your team.
Each user must be assigned a role and at least one location.
If you're using Kiosk Mode at stores, create a Kiosk User for each location. These users will log in on tablets and allow team members to clock in/out, submit tasks, or create claims using PIN validation.
Configure Text Messaging (Optional)
If you're using WashStacks Claims and want to communicate with customers via SMS, connect your Twilio account under Settings > Integrations.
2. Prepare for Launch
WashStacks is powerful, but getting the most out of it requires planning and team buy-in.
Review Your Current Processes
Audit how you currently handle processes such as damage claims, daily checklists, maintenance, and employee onboarding.
Decide what to bring into WashStacks and what to streamline or eliminate.
Train Your Team
Spend time with each level of your org:
Site-level employees: Logging in, completing tasks, clocking in/out.
Managers: Reviewing reports, managing users, handling claims.
Admins: Configuring roles, reviewing data, and overseeing compliance.
Customize for Operations (if using WashStacks Ops)
Think about the checklists or routines you currently use—open/close procedures, equipment inspections, etc. You can recreate these in WashStacks to ensure consistency and trackability.
3. Keep Improving
WashStacks works best when it's part of your daily rhythm.
Monitor Adoption
Encourage usage by checking which users are logging in and completing assigned actions. If it's not happening, find out why.
Keep Evolving Your Setup
As your team gets more comfortable with the platform, revisit your roles, checklists, or workflows. What made sense on Day 1 might need refinement after a few weeks of real-world use.
